What Does It Actually Cost to Run a Commercial Espresso Machine?

Beyond the purchase price — energy use, water filtration, servicing and part wear all factor into what a commercial espresso machine actually costs to run.

What Does It Actually Cost to Run a Commercial Espresso Machine?

The purchase price of a commercial espresso machine, covered in our budget breakdown guide, is only the start of the real cost picture. What it actually costs to keep a machine running well, day after day, is a separate question — and one worth understanding before you commit to a specific model.

Energy consumption

Commercial machines draw meaningfully more power at higher group counts — a single-group machine might draw around 2.5 kW, while a 4-group machine can draw upwards of 8–9 kW. Machines are generally left powered on and heated throughout opening hours, so the practical running cost depends heavily on your hours of operation and local energy prices, not just the machine's rated power draw. Some machines offer eco or standby modes for quieter periods, which is worth asking about if your site has predictable lulls.

Water filtration, as a recurring cost

This is genuinely ongoing, not a one-off. Filter cartridges need replacing on a schedule tied to your water hardness and volume, as covered in our descaling and filtration guide. Skipping replacements to save money is one of the more common false economies we see — it accelerates exactly the scale-related faults that cost far more to repair.

Consumable parts

Group seals, gaskets, and steam wand tips are all wear items that need periodic replacement regardless of how well a machine is maintained. Budgeting a small, predictable amount for these is far cheaper than treating each replacement as an unplanned repair.

Servicing as a cost, not just an expense

A proper service plan has a clear, known cost — and it's specifically designed to be cheaper than the alternative. Reactive repairs, especially ones that involve a breakdown mid-service and lost trading time, cost considerably more than the equivalent planned maintenance would have. Our servicing plans are priced to reflect that trade-off.

Grinder running costs

Burrs are a wear item tied to total volume ground, and higher-volume sites will replace them more often than the calendar alone would suggest. Factoring burr replacement into your running costs from the start avoids it becoming an unexpected expense later.

The honest total picture

Running costs on a well-specced, well-maintained machine are genuinely predictable — energy, filtration, consumables and a service plan, all budgeted in advance. The expensive scenario is always the same one: skipping maintenance to save money short-term, and paying considerably more for an emergency repair (or a full component replacement) later. This is general guidance to help with planning, not a substitute for a cost estimate specific to your site and usage.
